Enrollment Information 

Enrollment Highlights:

 

Thank you for choosing ICAN Charter Academy for your student needs. Open enrollment is on a “first come, first served” basis. If student enrollment exceeds the capacity, class, or grade level, then a lottery will be required. Preference may be given to students “currently” attending the charter school through an appropriate admission process and remaining in attendance through subsequent grades and children of employees or Board Members. In addition, preference may be given to students residing within a "reasonable distance" of the school. The student positions remaining after the application of any preferences will be considered the number of open positions available in the lottery.


Students may withdraw at any time and enroll in another public school as determined by the local School Board’s policy. All students will be required to adhere to the local School District and State of Florida policy regarding student health examinations and inoculations. 


As a school of choice, ICAN requires that parents be actively involved in the school and in their child's education. A Home/School Compact must be completed by the parent for each student in attendance. This compact outlines some of the school, parent and student expectations, which is consistent with the school's mission and purpose. ICAN Charter Academy may deny re-enrollment to a student whose parent has failed to fulfill their obligations as outlined in the Home/School Compact or the Student Handbook

Enrollment Policy


If a parent or guardian (collectively referred to as “Parent”) wants to enroll his/her student, the parent must submit a completed online or hard copy registration packet during our enrollment period for each student wishing enrollment. A complete and timely online registration packet is required to ensure that the student will be included in the lottery. A lottery will only be required if the number of students wanting to enroll exceeds the number of seats available at the school.

The academy will enroll any eligible student who meets residency requirements and who submits a timely application. The school will comply will all aspects of Florida Statute 1002.33(10) regarding enrollment and the lottery process. Pursuant to Florida Statute 1002.33(10(e)(4) If more applications are received than there are available places for students in any one or more grade levels, then a lottery will take place on a date designated by the Board. Applications received after the deadline will be placed on the waiting list in the order received, after the students put on the waiting list during the lottery. The lottery will take place in the evening and will be open to the public. Notices will be given to all applicants and otherwise posted in order to ensure the community knows when and where the lottery will occur.

All students’ names who have submitted applications and meet the eligibility requirements of the Florida state law will be included in the lottery. The lottery will be conducted by an independent party selected by the Board from a pool of available CPA firms.
 
Preference will be given to siblings in accordance with Florida law. For definition purposes, “siblings” are brothers or sisters (including half–brothers, half-sisters, stepbrothers, stepsisters, foster brothers, and foster sisters) of the applicant, who live in the same household. Preference is given to children of board members and employees in accordance with Florida law. For the initial lottery, all applicants will be in the same lottery. If a student is drawn from the lottery and there is a sibling or siblings also in the lottery (for that grade or another), they will immediately be given preference so that the family may enroll in the same school. In subsequent years, if the number of sibling applicants exceeds the number of available spots, a separate lottery for siblings will be created so that siblings are drawn first before non-sibling applicants for that grade. In addition, following the first year of the lottery, seats are automatically given to enrolled students.

Within 5-7 business days of the lottery, the school staff will double check all lists and mail out letters and forms to families. If a family fails to return the required paperwork by the deadline stated in the acceptance letter, the child(ren) loses their spot. The school will then notify families on the waiting list for the appropriate grade that their child(ren) can enroll. Students on the waiting list will be notified in the order in which their names appear on the list. Each family will have a reasonable amount of time to fill out and return the forms before losing their spot at the school.  There are no conditions for acceptance (such as an interview or a mandatory meeting) once a student is chosen from the lottery or drawn from the wait list. The school staff will be available to assist with the completion of required paperwork for enrollment (including, but not limited to, emergency contact forms, enrollment forms, immunization records, etc.).

In the event that the number of applicants to the school exceeds capacity, the waiting list will be created according to the following procedure. After completion of the lottery process for selecting students for enrollment, the identical lottery process will continue to form a priority- ranked, enrollment waiting list. This waiting list will be the only official, legal document identifying the names of eligible students with applications to the school pending acceptance for the subsequent school year or in the event that any vacancies arise. The waiting list will be maintained throughout the school year; however, students will need to reapply to be included in the lottery in subsequent years.

Names will also be taken off the waiting list when a student withdraws from the school. If a child enrolls in the school but fails to show up, the family will be contacted by telephone and mail. If the school learns that the child will not be attending the school or the school does not receive a response from the family, the next name on the waiting list is contacted.


Admissions General


Because ICan Charter Academy is a school of choice within the State of Florida, the academy require parents to be actively involved in the school and in their child's education. To ensure this expectation is met, a Home/School Compact must be completed by the parent for each student enrolled. The compact will summarize some of the school, parent and student expectations, which is consistent with the school's mission and purpose. The full scope of the academy’s expectations will be noted in the Student-Parent Handbook. ICan Charter Academy may deny re-enrollment to a student whose parent/caregiver has failed to fulfill their obligations.


Timeline


Students may apply at any time for enrollment. All applications will be reviewed and processed only during the enrollment period. The enrollment period will end each March 30th, at 4:00p.m. (EST). If March 30th, is a weekend or holiday, then the next school’s business day will be the subsequent enrollment deadline date at 4:00p.m. (EST).  Open enrollment is on a “first come, first served” basis. If student enrollment exceeds the capacity of the programs, class, grade level, or building, applicants shall be placed in a lottery. If a student is not enrolled prior to the beginning of the upcoming school year, then the student will be placed in the lottery pool for the following school year. If an opening for enrollment becomes available during the school year, only those students having a “completed” application on file will be selected from the waiting list.
 

Lottery Procedures


ICan Charter Academy will conduct fair and impartial lottery procedures. An electronic system will be used to generate a random order of students. Once you have applied by completing the application, an electronic receipt is generated and sent to the parent stating that the application has been received. Failure to receive an electronic receipt is indication that you have not applied. Likewise, a system-generated number will be provided to each application for admission; which will be used for enrollment and lottery purposes. Grade levels will be used to determine an enrollment cap per grade level. If you need assistance with enrolling your student, please contact the school’s administration.


A random drawing will be held on the approved lottery date until all available slots are filled. Once all students are drawn, a waiting list will be generated based on the order in which they were drawn. Lottery applicants will be notified in writing regarding their placement.


Students may only apply for one lottery slot. If a student applies for more than one lottery slot, then his/her name will be removed from the lottery  If a student uses a name other than his/her legal name, then this will result in disqualification from the lottery. If a student is enrolled and it is determined that a name other than his/her legal name was used, then the student will be dis-enrolled.


Acceptance Period


Student families will have five (5) days to accept their position once selected. The student family must provide a signed acceptance letter to the school administration office within the five (5) days acceptance period either via fax or hand delivered to secure the enrollment spot. Acceptance letter received outside the five (5) day acceptance period will be considered invalid and the next student on the waiting list will be selected and notified.

Entrance Interview & Enrollment Packet


All applicants accepted for enrollment are required to attend an entrance interview. This entrance interview will be used to provide the parent/caregiver with the enrollment packet and the student will be placed into his/her learning program. Parent/Caregivers must provide a birth certificate, updated immunization records or Certificate of Religious/Conscientious Objection to Immunization, Social Security number, proof of residence, in addition to filling out all required admission forms. Any authorizations for official school transcripts and or placement test scores must be submitted. Home school students must submit a portfolio of their academic work upon enrollment. If there are other enrollment documents required by the District, the Parent/Caregiver will be notified at the time of the entrance interview.
 

Waiting List Procedures


Students with a completed application and on the waiting list will be selected, in the order in which they appear in the lottery, and notified of the opening via email and a phone call. Parents/Caregivers will have five (5) business days to accept the open position and to complete the enrollment process. Failure to respond in this five (5) business days time frame will forfeit the available seat in the academy. If a seat is forfeited, it will be offered to the next student on the waiting list and so on and so forth. If a slot is declined when offered, then the student’s name will be removed from the list and will be required to begin the enrollment process from its beginning with a newly submitted application for admission. If a waiting list carries forward from a previous enrollment period, then those students will be placed in the new lottery and added to the new waiting list.
